Other: What is the City’s official records retention policy? How long are various types of records retained and how much server/cloud space are citizens paying for to retain this information? Thank you for your time and help regarding this information!

Thank you for your message. Indiana Code 5-15 governs record retention laws for local agencies, like municipalities. We follow the County/Local Retention Schedule Instructions posted on this website: https://www.in.gov/iara/divisions/records-management/countylocal-records-management/countylocal-retention-schedules/ As you'll see, there are detailed, varying instructions for a variety of kinds of documents--too many to summarize here. Many records are retained longer than the minimum statutory requirement, as they remain useful or of public interest. The cloud question doesn't have a simple answer. Most of our systems contain responsive records. These systems typically do not charge separately for storage, simply the service they are providing, which may be broader than storage. The largest cloud repository is Google Drive. Our fees there are on a per-user basis and are not connected to storage volume. Since that per-user fee covers many other essential needs for daily operations, it would not be accurate to use it as the basis for calculating storage costs.
